GMAS Release 1_41

Executive Summary

This April 2016 Grants Management Application Suite (GMAS) release will be available to users on Monday, April 11, 2016. This regularly scheduled release is the third official release in support of the GMAS 2.0 project.

Highlighted features of this release:

Added support for NIH FORMS-D transition:

The National Institutes of Health (NIH) have updated a series of forms for submission to Grants.gov. Updates made been made in order to continue supporting the system-to-system functions in GMAS.

Converted screens:

This release also delivered converted screens including the the Request list, the view/edit segment administrative team pages, and the edit/view IACUC approval screens. These converted screens will have the new GMAS 2.0 look-and-feel and the updated technology.

Changes in response to our user survey:

In February 2016, a user survey was conducted to gauge satisfaction of the new GMAS 2.0 designs, the December ’15 release, and the newly designed segment homepage. As a result of this feedback, several changes have been implemented including adding the project id to the segment homepage snapshot, and changing the "Obligated" column in the dates and dollars section "Authorized", showing obligated plus carryforward.

GMAS will be unavailable to users from 9:00PM EST on Friday, April 8, 2016 through the start of business at 9:00AM EST on Monday, April 11, 2016.

The next GMAS release is tentatively scheduled for the summer 2016 timeframe. Proposed features for that release include continuing conversion of screens to GMAS 2.0 and support for the major business priority of improving the document repositories.  Additional enhancements and bug fixes will also be part of the 1_43 release.

Grants.gov system to system (S2S)

Added support for NIH FORMS-D transition

GMAS supports submission for the following new forms:

  • PHS 398 Research Plan version 3.0
  • PHS 398 Cover Page Supplement version 3.0
  • PHS 398 Career Development Award Supplemental Form version 3.0
  • PHS Inclusion Enrollment Report version 1.0
  • PHS Assignment Request Form version 1.0

Added a new screen to support the combined inclusion enrollment form.

Bug fixes

  • Fixed an issue where emails longer than 35 characters were truncated in submissions.
  • Project id numbers now always appear correctly on the submission tracking dashboard.
  • Preview for the key person form now works correctly with organization names that contain foreign characters.

Other changes

  • The RR Other Project Info form now uses the received date instead of the effective date for IRB and IACUC approvals.
  • The PHS Modular Budget form has been updated to use the latest stylesheet from NIH.
  • Created a new admin page to support Grants.gov system-to-system testing.

Segment homepage


Changes based on user feedback:

  • Locked segment revisions now show the user who owns the lock in the tooltip.
  • Added a user preference to show the segment home with "More details" open by default.
  • The "Obligated" column in the dates and dollars section has been changed to "Authorized", showing obligated plus carryforward.
  • Project id now shows in the top part of the segment home project snapshot for pending projects.

Other visual changes:

  • Fixed an issue where special characters in project titles were not displaying correctly.
  • Removed extra space in front of project titles that appeared when no nickname exists.
  • Updated the visual style for cost sharing.

Retirement 

  • Removed extra notification screen from subagreement amendment workflow.
  • Retired the "Letter of Credit" module. The document repository for Letter of Credit is still available.

Interfaces

  • Added a limit so reminder emails would only send to official Harvard email addresses.
  • GMAS conflict of interest approvals are now updated from more statuses in the fCOI system.
  • Fixed an issue where IDC rate changes with a July 1 effective date were not sent correctly to the GL.

Other fixes and improvements

  • Significantly improved performance of the request home for projects with many requests.
  • Removed the empty tooltip indicator from the <Disable> button on the subactivity detail page.
  • Editing final figures now closed the edit form correctly.
  • All tooltip icons have been changed from blue to grey.
  • Fixed issues with entry and display of special characters.

Technical

  • Updated the pdf generation library used to create action memos.
  • Upgraded the Jackrabbit document repository component from 2.6.3 to 2.10.1.
  • The breadcrumb error page is now displayed correctly with no additional unhandled exception detail.
  • Fixed an error some users received when logging notices.
  • Fixed an error preventing adding new jobs to people.

April 22, 2016
Stabilization release 1_41_05 addressed the following bugs:

  • Setting the “more details” default to ‘open’ no longer causes errors on some converted edit screens.
  • FCOI approval screen now displays the latest FCOI approval status correctly when the page loads.
  • Adding job information no longer causes an unhandled exception.

May 10, 2016
Stabilization release 1_41_06 addressed the following bugs:

  • Addressed issues with special characters which caused action memo and grants.gov pdf generation to fail
  • Added an administrative function which allows the GMAS team to regenerate (and reinsert) action memo pdfs if they become corrupt

June 22, 2016
Stabilization release 1_41_07 addressed the following bugs:

  • Added support for PHS Fellowship Supplemental Forms-D (version 3.1)
