Merging Person Profiles in GMAS

Merging person profiles is an important step in ensuring that the appropriate individuals are accurately associated to sponsored projects. Merging profiles becomes necessary when sponsored proposals are entered into GMAS prior to an individual being in Harvard HR systems. Person profiles are often created by users as a temporary placeholder for that individual until they start working and are issued a HUID.

Accessing GMAS: Security Information for All Users

Client Services is the Harvard department that handles the process of assigning security to GMAS. Authorized Requestors in each Tub communicate with Client Services to coordinate the security authorization for each user; this includes awarding first-time access to new users as well as transfers and terminations.

For transferred users with GMAS access, Client Services runs a process on the first day of every month. Primary Authorized Requestors will receive an email if a user is transferring from their department. Authorized Requestors are expected to respond to the email if a user...

GMAS Release 1_41 is this weekend (April 8 to April 10, 2016)

The April 2016 Grants Management Application Suite (GMAS) release will be available to users on Monday, April 11, 2016. This regularly scheduled release is the third official release in support of the GMAS 2.0 project.

Please note:  GMAS will be unavailable to users from 9:00PM EST on Friday, April 8, 2016 through the start of business at 9:00AM EST on Monday, April 11, 2016.

We Heard You

We would like to thank everyone who participated in the GMAS 2.0 Survey and for providing feedback on the December release – more than 60 respondents! 
The survey allowed us to prepare for future releases by understanding the best ways to communicate with users and the perception of the navigational changes.  As a result of the survey, the project team has identified system improvements some of which will be implemented as early as the April release.

What to Expect in the Next GMAS 2.0 Release

Based on priorities established by the Business Steering Committee and user feedback, the GMAS 2.0 project team is preparing new system-changes to be released for April 11, 2016.

This release focuses on delivering necessary system upgrades in order to continue to support System to System functionality within GMAS. In addition to the existing S2S forms, GMAS will support 5 new NIH forms, including:

  • PHS 398 Cover Page Supplement
  • PHS 398 Career Development Award Supplemental Form

How to Confirm a Research Team in GMAS

Confirming the research team takes place at time of initial award (once the notice has been logged or once an at-risk account request has been authorized.) The Research Team may be edited throughout the life of the award, as team members are added to or leave the project.

The Research Team in GMAS is used to generate and track approvals for individuals performing research on a specific project, such as:

  • OAIR(Outside Activity and Interest Reporting)
  • Participation Agreement
  • Human Subjects Protection Training
