This job aid details the appropriate steps to take when adding a fellow without a Harvard University Identification Number to a request that does not currently exist in the system, then awarding and/or closing that request. Your position allows you to add and delete fellow profiles based on your role and knowledge of the related proposal.
Steps
A. Directions for entering a Fellow, without a Harvard University Identification Number, in a request
- On the GMAS homepage, perform a Person search by clicking the People component on the Global Navigation bar.

Check the fellow’s name. Click the Create a new person button to add all the information necessary to creat a profile for the fellow.

Continue the request using the fellow’s profile that has been created.
B. Directions for Awarding or Closing a Request that includes a Fellow without a Harvard University Identification Number

Before awarding or closing a request, perform a Person look-up by clicking the People component on the Global Navigation bar.
- Enter the fellow’s information in the First or middle / last name/ HUID field. Then click Search to see if a new profile that includes the Harvard University Identification Number has been created.
- If the new profile has been created, submit a request to your central administrator to merge the duplicate profile in GMAS (Note: This needs to be done by a super-user).

After the duplicate profile has been merged, continue as normal with the rest of the awarding or purging process.
