Edit Equipment Overview

This job aid documents the new process to edit equipment for a segment in the GMAS system.  The edit equipment functionality is used by the business to enter the equipment terms and conditions when the special equipment flag is marked as a yes.

As a result of the December system release, only Central Users will have the ability to edit equipment on a segment.  Therefore, only central users in OSP, HMS SPA and SPH SPA offices with system roles Central Administrators, Central Financial Administrators and Central Super Users will have access to this screen.  Department users will no longer be able to edit equipment when the segment is pending.  

The process to edit equipment allows users to select multiple sponsor equipment terms that apply to the segment and to add comments related to the sponsor equipment terms.

Edit Equipment Process

Edit Equipment is now located in the project snapshot section of the segment homepage.  In order to access information about sponsor equipment, users must click on “More details” to expand the header to show additional information about the segment.

Sponsor Equipment will only show if the sponsor equipment flag is set to yes in a segment revision. Special equipment will show blank if data has not yet been entered.   When information has been entered for sponsor equipment, it will show under the Sponsor Equipment heading.  Only users with the appropriate security will have access to the edit button and to add or change the sponsor equipment terms.

Users no longer need to identify the title and ownership using the drop down lists.  Instead they will check all the sponsor terms that apply to the segment including if there is Government Titled Equipment (GTE), Government Furnished Property (GFP), project specific reporting required to the sponsor or other unusual equipment terms.  Users can still enter additional comments by including them in the “Equipment Comments” field.  All special equipment terms checked and any additional equipment comments will be included in the project snapshot section next to the “Sponsor equipment terms” field.

If a user changes the segment revision flag from yes to no, all the previous data stored will be lost. If the flag was changed to no by mistake, the data will have to be reentered once the flag is correctly switched back to yes.

Steps to Edit Equipment

1. From the segment project snapshot, select More Details and locate the Sponsor Equipment section.

  • If you do not see the Sponsor Equipment section, the flag in the revision is marked no.

2. Click Edit next to the Special Equipment field.

  • The “Is there any equipment associated with this award” question is already marked as “Yes” since the segment revision flag was marked as a yes providing access to the Edit sponsor equipment terms screen.

3. Check all sponsor equipment terms that apply.

  • If you select other, enter additional the other terms in the text box.

4. Insert any additional information in the Equipment comments section.
5. Click Done.
